Ballard Spahr has an excellent opportunity available for an experienced Transactional Legal Administrative Assistant (LAA) with demonstrated technical and administrative skills to work in the Philadelphia office in our Business & Transactions, Private Client Services (Trusts & Estates) department.

Your Role:

You will assume responsibility with minimal supervision, exercise initiative and judgment to make decisions within the scope of your assigned authority, and both champion and practice collaboration with all firm members and clients. The assistant will work collaboratively to anticipate and respond timely to the needs of the assigned LAA Team and its included fee earners and clients. This position is hybrid and offers a work schedule of 3 days a week in the office.

As a Legal Administrative Assistant within our Private Client Services (Trusts & Estates) team, your responsibilities include but are not limited to:

  • Creating electronic files, preparing and processing correspondence, memoranda, and complex legal documents, and performing other administrative functions.

  • Administrative duties include scheduling meetings and appointments and maintaining attorney calendars and contact information.

  • New client intake, and file maintenance utilizing the firm's electronic records management system.

  • Billing, travel coordination, and expense reimbursement.

This position requires a minimum of 2 years of relevant experience and a high degree of proficiency with Microsoft Office, including Word, Excel and Outlook. Experience supporting attorneys in Private Client Services (Trust & Estates) with preparing estate planning documents, and assisting with probate and trust administration preferred. Experience with document management, time and billing systems, and DocuSign a plus.
