Position Purpose

Under the supervision of the Director of Health Services (DHS), the Medical Administrative Assistant (MAA) is responsible for all aspects of providing support to the Health Services Department. Under the guidance of the DHS, the MAA provides critical expertise in verifying student insurance information and ensuring completion of clerical duties to the health services department. The ability to communicate and relate to both staff and students is essential. 

Essential Roles and Responsibilities

Patient Care

  1. Monitor and verify active status for student current insurance through available insurance portals and verification tools.
  2. Communicate status of and assist students with insurance issues
  3. Maintain electronic documentation of administrative interactions with students
  4. Create and maintain student charts
  5. Scan and file medical documentation
  6. Assist Director of Health Services with in-processing of new students 
  7. Assist with maintaining accurate current health history documentation 

Administrative/Professional

  1. Ensure HIPAA and FERPA compliance in accordance with college policy
  2. Support Health Services Policies and Procedures
  3. Ensure students are informed of and follow appropriate health services etiquette 
  4. Assist Director of Health Services hosting flu shot clinic and new student physicals annually
  5. Assist in monitoring and stocking medical inventory
  6. Effectively communicate with students and faculty through email
  7. Work cohesively with the Director of Health Services to provide efficient and effective care 
  8. Make copies and ensure issued medical forms are accurate and up to date
  9. Other duties as assigned

Qualifications (Skills and Abilities Required)

  1. Comprehensive knowledge of how insurance companies work and the ability to navigate various insurance verification and troubleshooting processes
  2. Ability to navigate the internet
  3. Strong oral and written communication skills
  4. Knowledge of various state insurance regulations (preferred)
  5. Proficiency in Excel (preferred)

Working Conditions

Some lifting of supply orders is required, although if assistance is needed, it can be provided upon request.

Additional Duty

Managing the Williamson’sStudent Clothes Closet approximately 5 hours a week. This would entail collection, organizing and maintaining men’s dress clothes donations to the college, ensuring the shop space is clean and orderly. Oversight would include checking clothing for wearability, ironing and/or sending items for dry cleaning, and providing time for students in need of additional dress clothes to “shop”.  This opportunity is fairly flexible throughout the week and would not interfere with the primary duties listed above.
