OTTO’s opportunity:
Our Payroll Administrator is responsible for providing professional level timely and accurate execution of the full payroll lifecycle. Responsibilities include managing the compilation of payroll information, paying employees, data reporting, and ensuring compliance with OTTO policy and regulatory requirements. This position is also responsible for ensuring the compensation structure and standards of the company. The candidate will work in partnership with ADP (managed service provider) to ensure success of the payroll process. The Payroll Administrator also works closely with the accounting team to ensure all accounting and reporting deliverables are met. The Payroll Administrator is continually responsible for providing a high-quality level of customer service to both management and the Company’s employees.
Specifically, the Payroll Administrator will:
- Process weekly (hourly) and biweekly (salaried) payroll
- Prepare weekly, monthly & annual payroll reports as well as ad hoc reports for management & audits
- Review timecards for accuracy
- Educate new managers, group leaders and office hourly on Time and Attendance
- Prepare & process quarterly rate increases
- Act as liaison with ADP
- Electronically transmit positive pay data to the bank
- Manage positive pay exceptions
- Track and maintain payroll deductions in arrears
- Track & manage age reduction GTL
- Process Group Healthcare costs (W-2s)
- Manage SUI rates
- Set up state and local jurisdictions as required
- Balance quarterly payroll taxes
- Calculate and process profit sharing & process bonus payrolls
- Track & report employee loans
- Administer employee garnishments
- Manage LOA vacation proration
- Process payments for Cottage work
- Electronically transmits 401(k) contributions/company match to plan administer
- Provide reports for 401k audit
- Process improvements as necessary
- EEO-1 report preparation & submission
- Illinois Equal Pay Act report preparation & submission
- Census reporting for 401(k) & benefit renewals
- Manage salary & hourly vacation carryover
- Manage payroll & holiday schedules in ADP
- Maintain pay grades in ADP
- Import points on paychecks
- Retrieve ADP invoices
- Prepare monthly anniversary list for the OTTO Newsletter
- Manage outstanding payroll checks
- Prepare annual rent increase authorizations, process rent increases
- Provide annual budget information to accounting
- Assist with other related duties as required or assigned
What you’ll need to bring to the table:
- Bachelor’s degree or 10 years related experience
- Minimum 5 years of full payroll life cycle experience including 2 years minimum with ADP Workforce Now
- Strong problem solving, communication & interpersonal skills
- Solid working knowledge of benefits, policies, and procedures
- High level of integrity & ability to maintain confidential information
- Ability to multitask
- Detail oriented with ability to perform with a high degree of accuracy
- Ability to work independently and as part of a team in a deadline driven and fast paced environment
- Proficient in Microsoft Office including intermediate level in Excel
